General summary

Leads and tracks overall prospect portfolio, employing data analytics to manage prospect identification and assignment. Supports the movement of donors through various gift portfolios and leverages third-party applications for in-depth prospect research and data application.

Major duties

  • Leads prospect and portfolio management and pipeline development through maintaining an overall knowledge of the University's top prospects and opportunities.
  • Provides key research and data analysis to stakeholders, developing strategies for top University donors and ensuring prospects progress through the portfolio cycle.
  • Leads monitoring and reporting on portfolios, pipeline strength, opportunities, and campaign tracking, maintaining dashboards and information systems for real-time updates to University leadership.
  • Conducts in-depth research and analysis on prospects, communicating findings to optimize cultivation and solicitation efforts.
  • Coordinates strategy sessions with department leadership and front-line gift officers, advising on portfolio saturation, prospect assignments, and timely pipeline movement.
  • Collaborates to develop advanced reports for prospect management, including those for regular meetings and special requests.
  • Creates and implements a process for assigning prospects to gift officers, ensuring timely and appropriate follow-up.
  • Creates, manages, and monitors contracts with vendors related to prospect management, evaluating tools and emerging technologies.
  • Oversees the budget for the Prospect Management team.
  • Hires, trains, evaluates, and supervises staff.

Required education

  • Bachelor's degree in related field from an accredited institution.

Required experience

  • Three years’ relevant experience.
  • Proven ability to work well as a contributing team member within a complex organization requiring collaboration, teamwork, and communication.
  • Ability to work cooperatively with diverse constituents.
  • Strong research skills.
  • Strong database management skills.
  • Ability to model personal initiative, curiosity, and flexibility to the team.
  • Ability to prioritize work and independently manage multiple, diverse, and competing projects while meeting deadlines.

Physical requirements

Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.

Working conditions

Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
